Frequently asked questions

The questions procurement, finance and internal audit ask about vendors, policy, tenders and the agreement, before a proposal.

Vendors and suppliers

How are vendors verified before they can be paid?

SSM registration, LHDN TIN, SST registration and the bank account are checked at qualification, and the bank account is confirmed with a RM 1.00 penny test. Bumiputera status and MOF registration are held for organisations that report on them. A vendor with an expired certificate cannot be awarded or paid until it is renewed.

Do our suppliers have to pay to use the portal?

No. The portal carries your brand, suppliers register with you, and there is no supplier-side fee to quote, acknowledge or invoice.

Policy, tenders and contracts

Can we keep our approval matrix?

Yes. Limits by amount, category and entity, a second approver above the threshold, written justification for direct negotiation, and time-boxed delegation are configured to your policy before go-live and enforced by the platform.

How do tenders stay confidential?

Quotes and tenders are encrypted until the closing time and opened together. Committee members declare conflicts before they score, technical and commercial envelopes are scored separately, and every score is on the record.

Does it handle works contracts?

Yes. Contractor and consultant packages, variation orders, certification, progress claims and retention are kept in one place, next to the orders and invoices they relate to.

Deployment and the agreement

Where does it run, and can our other systems talk to it?

In the organisation's own cloud account or data centre. idataraya installs it, hardens it and keeps it current, and the organisation's team holds the keys, the backups and the data. A documented API lets the organisation's finance system, asasii ledger or a third party raise requests, read orders and submit invoices.

What does the yearly agreement cover?

Software updates, the customisations made for you, monitoring, severity-based response and restoration targets, statutory updates and supplier onboarding. Hosting stays with you. It is a fee, not a share of spend.

Still have a question?

Send it with the approval matrix and the entity list, and an engineer replies within one working day.
